HEARTKNOWN LLC, a Wyoming company, uses only the information needed to provide customization, checkout, production, delivery, support and the optional choices you make.
Information we handle
Depending on how you use the storefront, we may handle an account reference, selected products and options, pet photos, written directions, generated portraits, order and delivery details, support evidence and limited technical information. If you request email updates, we also handle the email address and consent record you submit.
Why we use it
We use this information to protect your account and designs, create the portrait you request, prepare the selected product, support checkout and delivery, resolve quality issues, prevent abuse and meet recordkeeping duties.
Who receives what
Account and checkout providers handle sign-in, orders and payment. Photos, written directions and the compiled prompt are sent to image-generation providers, including OpenRouter and its locked OpenAI upstream, only to create the portrait you request. A production partner receives only the production file, recipient details and order facts needed to make and deliver the selected item.
Permission to make your order is not permission to publish your pet photos, portrait, pet name or story. Internal quality checking is part of processing your order. Public display on our website or social media and paid advertising are separate optional choices, both off unless you choose them.
How long files are kept
Unpurchased source photos are scheduled for cleanup 30 days after the last design activity. Source photos connected to a paid order are scheduled for cleanup 30 days after delivery or refund completion. Failed raw generation output is scheduled for 7-day retention. Production files are scheduled for cleanup 90 days after delivery unless production, support, a dispute or another required record prevents deletion.
Approved designs and order previews may remain available for account history or a future reorder. We do not promise permanent storage, and we do not claim that a configured retention target proves automatic deletion has already run.
Cookie, analytics and email choices
Necessary cookies keep sign-in, customization, cart and checkout working. Optional storefront analytics stays off unless you allow it. HEARTKNOWN stores that choice in a signed first-party cookie for up to 365 days and asks again when the policy version changes.
Analytics, email marketing and photo-use choices are separate from the permission needed to create and fulfill an order. Declining optional analytics or marketing email does not prevent customization or production.
Access, deletion and questions
You may ask about the personal information and image files connected to your account or order, or request deletion where the information is no longer needed for production, support, disputes or required records. Use the verified contact on the Contact page.
